Results

In late May 2020, a health and welfare consultant based in West Michigan engaged BizStream to develop a customized COVID-19 symptom tracker catering to the specific needs of employers. The consultant sought an affordable solution for their clients, offering a unique symptom-tracking system tailored to each client’s business. The primary requirements included the ability to monitor and generate reports on employees, notify managers/supervisors of symptomatic cases, and seamlessly integrate with their HRIS for comprehensive data tracking and compliance.

Despite free tools in the region, such as Spectrum Health’s COVID-19 tracking application, these options lacked the capability for employers to retain reported information. Additionally, many free tools had service gaps, rendering them incomplete solutions.

Challenges

  • Meeting the tight deadline of two weeks to deploy a functional application, timed to coincide with Michigan’s transition to phase 4 of the Safe Start Plan, enabling office reopenings, posed a significant challenge.
  • Devising a method to securely segregate each employer’s data, ensuring individualized protection in dedicated areas.
  • Establishing a storage system for employee information that adhered to HIPAA compliance standards.
  • Developing a mechanism to share data with local health departments and state universities for the compilation of public health records.
  • Creating a secure identification process for each employee, especially those without a company email address.
  • Implementing a mode that allowed visitors and non-employees to complete the symptom tracker questionnaire securely.
  • Generating comprehensive reports for employers, enabling verification of completion and passage of the symptom tracker by all employees.
  • Delivering a cost-effective solution that addressed all the project’s requirements.

Solutions

  • BizStream implemented a tailored solution within the Kentico Xperience platform, granting each employer an individualized workspace with secure and private data segmentation. To ensure HIPAA compliance, the application was hosted on Azure Cloud. The functionality of the application underwent validation by the Workforce Development Working Group.
  • For seamless data sharing, a custom solution was devised to collaborate with local health departments and state universities. A user-friendly marketing website was constructed to facilitate swift sign-ups and workspace creation for employers statewide, utilizing Azure Static Web Apps for agile changes and automated deployments.
  • To streamline employee onboarding, a custom file upload tool was developed, offering options for email-based or random unique identifier login credentials. The mobile-first design allowed easy check-ins on mobile devices. Product demo videos were created and distributed through YouTube’s marketing platform.
  • A kiosk mode was implemented, serving as an entry point symptom check for visitors. Leveraging the Kentico Xperience online form engine, a dynamic questionnaire was crafted, enabling employers to customize the tool to meet their specific requirements.
